Services: The VOZCLA website, desktop application, and related products and services (collectively, the “Services”)
This Privacy Policy explains how we collect, use, disclose, and protect information when you use the Services, and the choices you have.
1) The big picture (plain English)
VOZCLA is built to help you work faster—not to misuse your data.
We do not sell your personal information.
We may store and process what you submit (like audio/text) to deliver the features you request, support you, secure the system, and improve accuracy and reliability.
You can opt out of having your Content used for improvement beyond providing and operating the Services.
2) What we collect
We collect information in three main ways: (A) what you provide, (B) what we collect automatically, and (C) what we receive from third parties.
A) Information you provide
Account information
- Email address and account identifiers
- Login/authentication data (e.g., tokens)
- Billing information (if you purchase)
- Subscription status, plan, billing history, and payment confirmations
- Payment details are handled by our payment processor; we typically do not store full card numbers.
Content you submit to the Services
- Audio you record or upload for speech-to-text
- Text you paste, type, or highlight for rewriting, summarizing, explaining, formatting, or “smart commands”
- Files/documents you upload (if enabled)
- The resulting Outputs (transcripts, rewrites, summaries, etc.)
Support communications
- Messages you send to support (including attachments/logs you choose to share)
B) Information we collect automatically
Device and usage data
- Device type, OS version, app version
- Feature usage and interactions (e.g., buttons clicked, settings toggled)
- Usage metering (words/minutes/characters/requests/tokens, depending on plan features)
Log and diagnostic data
- Crash reports, performance metrics, error logs, and security events
- Approximate location inferred from IP (generally city/region-level)
Cookies and similar technologies (website)
- Essential cookies (login/session/security)
- Analytics cookies (to understand site performance and improve UX)
- We may also use similar technologies in the Desktop App for security and performance telemetry.
C) Information from third parties
- Payment processor data (e.g., subscription status, successful/failed payments)
- Infrastructure providers (hosting, logging, security tools)
- If you use integrations (now or in the future), we may receive data from those services only as authorized by you.
3) How we use information
We use information to:
Provide the Services
- Process your Inputs to generate Outputs (transcription, rewrite, summarize, explain, text-to-speech)
- Authenticate users and manage accounts
- Deliver plan features, enforce limits, and prevent abuse
Operate, secure, and maintain the Services
- Monitor reliability, performance, and security
- Debug issues and prevent fraud, spam, and abuse
- Maintain billing, accounting, and compliance records
Improve VOZCLA (accuracy + product quality)
- Improve transcription quality, command reliability, rewriting accuracy, and overall performance
- Evaluate and optimize models, prompts, and system behavior
- Important: You can opt out of improvement use (see Section 5).
Communicate with you
- Send service-related messages (verification, billing notices, important changes, security alerts)
- Respond to support requests and inquiries
Legal reasons
- Comply with legal obligations
- Enforce our Terms of Service
- Protect our users, our business, and the public
4) Your Content (Inputs/Outputs)
4.1 You control what you submit
You choose what audio, text, and files you provide. Please do not submit information you don't have the right to share.
4.2 Sensitive data warning (recommended)
Avoid submitting:
- Social Security numbers, government IDs, banking credentials
- Highly sensitive personal data (unless necessary and you accept the risk)
- Protected health information subject to HIPAA (unless we have a signed agreement with you)
5) Model/product improvement and your opt-out
We may use stored Content to improve VOZCLA (including improving models, prompts, pipelines, and quality systems), but you have a choice.
5.1 Opt-out option
You may opt out of having your Content used for improvement beyond providing and operating the Services.
How to opt out:
- Through an in-app setting (if available), or
- Email info@vozcla.ai with the subject: “Training/Improvement Opt-Out”
5.2 What opt-out means (and what it doesn't)
If you opt out, we will not use your Content for improvement/training beyond what is necessary to:
- provide the features you request,
- maintain reliability and security,
- prevent abuse,
- comply with law, and
- support you.
In other words: opt-out limits improvement use, but we still must process/store certain data to run the service and keep it safe.
5.3 De-identified and aggregated data
Where feasible, we may use de-identified or aggregated data (e.g., error rates, latency metrics, overall accuracy trends) to improve reliability and performance.
8) Data retention
We retain information only as long as reasonably necessary for:
- providing the Services,
- account administration,
- support and troubleshooting,
- preventing fraud/abuse,
- security, auditing, and compliance,
- enforcing our agreements.
Retention periods can vary by data type (Content, logs, billing records). You may request deletion (Section 10), but we may retain certain records where required by law or for legitimate business purposes (e.g., accounting, fraud prevention, security logs).
9) Security
We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration.
No system is 100% secure. You are responsible for keeping your account credentials secure and using the Services responsibly.
10) Your rights and choices
10.1 Access, correction, deletion
You may request:
- access to certain information we have about you,
- correction of inaccurate information,
- deletion of your account and/or stored Content (where feasible).
To make a request, email info@vozcla.ai. We may need to verify your identity before fulfilling requests.
10.2 Opt-out of improvement/training
See Section 5.
10.3 Marketing emails
If we send marketing emails, you can unsubscribe using the link in those emails. Service/billing/security emails may still be sent as necessary.
11) U.S. state privacy disclosures (California and similar laws)
Depending on your state of residence, you may have rights regarding:
- the categories of personal information we collect,
- the purposes for which we use it,
- the categories of third parties we share it with,
- access, deletion, and correction.
Do Not Sell/Share: VOZCLA does not sell personal information and does not share it for cross-context behavioral advertising in a way that is considered a “sale/share” under certain state laws.
To exercise rights, email info@vozcla.ai. We may verify your identity and, if applicable, your authority to act on behalf of another person.
12) International users
If you access the Services from outside the United States, your information may be processed and stored in the United States and other locations where we or our service providers operate. Data protection laws may differ from those in your country.
13) Children's privacy
The Services are not intended for children under 13. If you believe a child has provided us personal information, contact info@vozcla.ai and we will take appropriate steps.
14) Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If changes are material, we will provide notice by posting an updated version (and may notify you via email or in-app notice). The “Last Updated” date reflects the latest revision.
